How do I organize my accounts?

Reordering Account Tabs

To move an account up or down in the list of accounts, click and hold the account tab and drag it to a new location.

Viewing Accounts

To activate an account and see the register for that account, click on the corresponding account name in the sidebar.

Editing Accounts

To edit an account, hover over the name of the account in the sidebar and right-click (CTRL-click on a Mac) on the account name.

You are presented with the following menu:


This window contains all the options you'll need for making changes to this account. 

1.  Change the name of the account.

To change the name of an account, type a new name in the box where the existing name is.

2.  Change the account type.

To change the account type, select a different type from the drop-down menu.

3. Set/Adjust this account's balance.

This would be used if for example you are trying to reconcile your account and you can't make it balance. Rather then hunt for the 17 cents in question (or whatever amount it may be) you can have YNAB update your balance for you.

Simply enter the new amount and click Adjust Balance. YNAB will then enter a transaction for you in the amount of the difference to adjust the balance.  The transaction will be categorized as Income for (the current month).

Sample Scenario 1:

Your bank thinks you have $1000.00. YNAB thinks you have $990.00.  You can not find the discrepancy so you ask YNAB to adjust the working balance.

YNAB will enter an inflow of $10.00 and categorize it as Income for (the current month). You now have $10 more Available to Budget.

Sample Scenario 2:

Your bank thinks you have $990.00. YNAB thinks you have $1000.00. You cannot find the discrepancy so you ask YNAB to adjust the working balance.

YNAB will enter an outflow of $10.00 and categorize it as Income for (the current month). You now have $10 less Available to Budget.

4.  Make account a Budget Account or Off-Budget Account.

If the account is currently Off-Budget it will not have a Budget Category column and inflows and outflows to and from this account will not affect the Budget.  By changing it to a Budget Account a Budget Category column will appear and spending and income in this account will affect the Budget. Additionally, any past transactions will need to be categorized.  An orange warning will appear next to each transaction that needs to be categorized.  Once you categorize the transactions, the warnings will disappear.

If the account is currently a Budget Account it will have a Budget Category column and spending and income in this account will affect the Budget. By changing it to an Off-Budget Account, there will no longer be a Budget Category column and spending and income will no longer affect the Budget. Additionally, any past transactions will no longer affect the Budget.

5.  Close this account.

Clicking this will hide the account from view. To view the account again, click Closed Accounts at the bottom of the sidebar.

Right click on the account you want to view again, then select Re-Open Account at the bottom-left of the pop-up.

6. Delete this account.

To delete an account, first delete all transactions and scheduled transactions associated with the account.  Then right click on the account in the sidebar and close it.  It will move to the closed account section.  Right click on it again and then you'll be able to delete it.

Accounts that have transactions associated with them cannot be deleted. It is recommended that you close them instead.

Balances for hidden accounts are not included in the amount for Budget and Off-Budget Accounts. 

Customizing the Register Fields

On the right hand side of the register, you will see a small (+) sign. Click on it to see a drop down menu.

Place a check next to the columns you wish to see for the account you are working in. You can easily apply these settings to all accounts.
